Conveyancing Team Assistant

About the role
An opportunity is available for an organised Conveyancing Team Assistant to join our quality-driven Developments team based in Armadale. Reporting to the Conveyancing Team Leader, this role plays a critical part in the effective functioning of the contract management processes for Dennis Family’s land estates. Bringing your strong administrative skills and passion for the land sales/property industry to the role, your main responsibilities include:
- Managing the input of sales data and contract files in Sage
- Monitoring the ongoing performance of project performance in terms of critical dates for contracts
- Using our solicitor’s extranet and Development Manager to ensure that details match Sage/CRM, managing any corrections as required
- Managing requests for permission to nominate and on-sell, including arranging for Nomination and Resale deeds to be prepared
- Processing receipts and forwarding to solicitors
- Checking that all contracts are signed appropriately by all parties
- Ensuring that copies of documents are filed appropriately
- Ensuring customers comply with critical deadlines and settle on time
- Producing progress reports on each development stage as required
- Checking and coding invoices as required
- General administrative tasks
About you
This challenging role will suit a team orientated and motivated individual with excellent time management and prioritizing skills. The successful candidate will demonstrate and possess:
- Experience in contract administration (preferred)
- Working knowledge of Sage/CRM (preferred)
- Industry related knowledge and experience in land sales or the property market
- Sound knowledge of General Sales Process relating to clients on all levels
- Proficiency in Microsoft Office suite
- Highly developed organisational and prioritising skills
- The successful completion of the Agent’s Representative course (or full agents’ licence) within 90 days of commencing in the role
